RentPilot ("we", "our", or "us") operates a 24/7 AI-powered rental assistant platform that communicates with tenants and prospects through messaging channels including WhatsApp, Facebook Messenger, Instagram Direct, and Line. This Privacy Policy explains how we collect, use, store, and protect personal information when you use our platform or when property agencies use our services on your behalf.

2. Information We Collect

We collect information that you provide directly through messaging channels, including: • Name and contact details (phone number, email address) • Rental preferences (budget, desired location, move-in date, unit size) • Employment and financial information provided for tenant qualification • Message content and conversation history • Device identifiers and messaging platform metadata We also collect information provided by property management agencies that use our platform, including property listings and availability data.

3. How We Use Your Information

We use collected information to: • Respond to rental inquiries on behalf of property agencies • Qualify tenant applications automatically • Schedule and confirm property viewings • Alert property managers when human assistance is needed • Comply with legal obligations • Send confirmations and follow-up communications regarding your rental inquiry

4. Third-Party Integrations

Our platform integrates with third-party services to deliver its functionality: • Meta Platforms (WhatsApp Business API, Facebook Messenger, Instagram Direct): We access messaging permissions solely to send and receive rental-related messages on behalf of property agencies. Data is processed in accordance with Meta's Platform Terms and Privacy Policy. • Google (Google Calendar API): We request access to create, read, and manage calendar events for the purpose of scheduling property viewings. We access only the calendar scopes necessary to book and confirm appointments. Google user data is not used for any purpose other than providing this scheduling feature. • Line Corporation (Line Messaging API): We access messaging permissions to send and receive rental-related messages. Data is processed in accordance with Line's Terms of Service and Privacy Policy. Each integration uses OAuth 2.0 authorization. We access only the minimum permissions necessary to deliver our service. Google API Limited Use Disclosure: RentPilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide or improve the property viewing scheduling feature, and is not used for any other purpose, transferred to third parties, or used for advertising.

5. Data Retention

Conversation data is retained for up to 24 months to enable property agencies to review past inquiries and improve service quality. You may request earlier deletion at any time (see Section 7). Anonymized and aggregated data may be retained indefinitely for analytical purposes.

6. Data Security

We implement industry-standard security measures including encryption in transit (TLS 1.2+), encryption at rest, access controls, and regular security audits. Despite these measures, no system is completely secure. We encourage you to contact us immediately if you suspect any unauthorized access to your data.

7. Your Rights

11. AI Integration — Service Provider

Our platform uses artificial intelligence to process and respond to tenant inquiries. Conversations are processed through OpenAI's GPT-5.4 mini language model via the OpenAI API. As part of this integration, personal information you provide — including name, email address, and phone number — may be transmitted to OpenAI for the sole purpose of generating conversational responses. In accordance with OpenAI's Privacy Policy, OpenAI does not use data submitted via the API to train or improve its models. Your data is processed solely to generate a response and is not retained by OpenAI beyond what is required to fulfill the request. We access only the information strictly necessary to generate a relevant response to your inquiry. Future infrastructure: We intend to migrate AI processing to a self-hosted large language model running on our own infrastructure. When this transition occurs, your data will no longer leave our servers for AI processing purposes, and this policy will be updated accordingly.
